Setup guide

Set up PresenAIT Time yourself

Everything a new workspace owner needs, in order. Each step takes a few minutes, and you can stop after any step and pick up where you left off.

Before you start

Have these ready

Step by step

From sign-up to your first payroll export

  1. Create your workspace

Go to app.presenait.com/signup and enter your company name, a subdomain for your workspace, your name, email and a password, then pick a plan.

The 14-day free trial needs no card. You can change plan later from Billing.

  2. Set your organisation defaults

In Settings → Organisation, set your timezone, pay cycle (weekly, fortnightly or monthly) and maximum shift hours. Turn on Break Tracking if staff should record breaks at the kiosk.

Choose time rounding if you round to 5, 6, 10, 15 or 30 minutes. Actual clock times are always kept; exports use the rounded net hours.

  3. Set approvals and add your managers Core · Pro

On Core and Pro, every shift is approved in two steps: a Manager approves day to day (Level 1), then an Admin gives final sign-off before export (Level 2). The person who signs up is the Admin, and an Admin can approve both steps.

Use Manage Team & Roles to invite the managers and owners who will sign in to the dashboard. They are separate from the staff who clock in. On Lite, a single approval by a Manager or Admin is enough, so you can skip this step.

  4. Add your sites Core · Pro

In Settings → Locations, add each work site and turn on geo-fencing. Soft mode allows clock-ins away from a site but flags them for review; strict mode blocks them.

Core covers up to 3 sites; Pro is unlimited.

  5. Add your staff

In Staff → Add Staff, enter each person’s name, staff type (permanent, casual, ABN contractor or volunteer) and hourly rate. Employee IDs are created automatically if you leave them blank.

Kiosk only: leave email blank, then copy the one-time PIN shown after saving and give it to the staff member. Phone app (Core and Pro): add their email and they receive a welcome message with their PIN and a link to set up the app. Lite covers up to 15 active staff.

  6. Pair your kiosk tablet

In Settings → Organisation, under Pair kiosk tablet, select Generate enrollment code. On the tablet, open kiosk.presenait.com and enter the code, or scan the QR code shown on screen. Codes expire after 15 minutes.

No manager password is stored on the tablet. Pair as many kiosks as you need — each one uses its own code. If the internet drops, the kiosk keeps recording clock-ins and syncs them when it reconnects.

  7. Switch on phone clock-in Core · Pro

Staff open the link in their welcome email on their phone and confirm their PIN once. That phone is then linked to them, and they clock in and out at time.presenait.com, with location checked at clock-in when geo-fencing is on.

If someone missed the email, resend it from the mail icon next to their name in Staff.

  8. Add stronger sign-in if you need it Optional

Authenticator codes (Core and Pro): from Staff, link the staff member’s Google or Microsoft Authenticator app so they clock in with a one-time code.

Face clock-in (Pro): from Staff, select Enrol Face and record the staff member’s consent. PresenAIT keeps a face template, not a photo, and deletes it when consent is withdrawn or the staff member is deactivated.

  9. Run your first shift and approve it

Have a staff member clock in, take a break and clock out. The shift appears on the live dashboard and then in Approvals, where you approve or reject it, or correct a missed clock-out.

On Core and Pro, a Manager approves first and an Admin gives final approval. On Lite, one approval is enough.

  10. Export to payroll

In Export, download approved hours as a Standard CSV on every plan. From Core you can build custom templates with your own column mapping; Pro adds ready-made Xero and MYOB presets.

Both Managers and Admins can download exports. Standard CSV, Xero and MYOB columns are fixed so files import cleanly; use a Custom template to rename, reorder or hide columns.

Check the Reconciliation summary before each pay run, then process pay in Xero, MYOB or your payroll system as usual.

Common questions

When something needs a hand

A staff member forgot their PIN or got locked out

Five wrong PIN attempts lock that staff member for five minutes. A manager can unlock them or reset the PIN from Staff.

Someone forgot to clock out

A manager can clock them out from Staff, or correct the clock-out time in Approvals before approving the shift.

The kiosk tablet stopped working or was replaced

Generate a new enrollment code in Settings → Organisation and pair the tablet again.

Can I change plan later?

Yes, from Billing. Moving down to Lite needs 15 or fewer active staff, so deactivate anyone who has left first.
